Terms and Conditions
Introduction: These Terms and Conditions (“Terms”) govern the purchase of conference tickets and the use of the Sports Medicine Conference website operated by MB Keyz study (hereinafter “Organizer”, “we”, or “us”). By purchasing a ticket or using our website, you (the Buyer or “attendee”) agree to be bound by these Terms. Please read them carefully before making a purchase. If you do not agree with any part of these Terms, you should refrain from purchasing a ticket or using our services.
Organizer Details: The Organizer of the conference and provider of the ticket sales service is MB Keyz study, a business registered in the Republic of Lithuania. Our contact details for any inquiries are provided at the end of these Terms. (If you need to reach out regarding ticket purchases or have any issues, please see the Contact Us section below.)
Definitions
For clarity in these Terms, the following definitions apply:
- Organizer: MB Keyz study, the company organizing the Sports Medicine Conference and selling tickets to the event.
- Buyer (or “you”): The individual or legal entity purchasing one or more tickets for the conference via our website. The Buyer may also be an attendee, or may be purchasing on behalf of another attendee.
- Attendee: The individual who will attend the conference. (The attendee could be the Buyer or someone the Buyer designates if allowed by these Terms.)
- Event (or “Conference”): The Sports Medicine and Physiotherapy conference organized by us (the Organizer), including all sessions and activities that are part of the event. The Event will take place on the specific advertised date(s) and venue.
- Ticket: The proof of purchase (electronic ticket or registration confirmation) that grants the attendee the right to enter and participate in the Event.
- Website: Our official conference website http://summit.skima.academy, through which tickets are sold and information is provided.
Ticket Purchase and Payment
Eligibility: By ordering a ticket, you confirm that you are at least 18 years old and legally capable of entering into a binding contract. If you are purchasing on behalf of an organization or other individuals, you warrant that you have the authority to do so.
Registration Process: To purchase a conference ticket through our website, the Buyer must follow these steps:
- Order Form: Complete the ticket order/registration form on our Website. You will be required to provide certain personal information such as first name, last name, email address, phone number, and country. Ensure that all information provided is accurate and up-to-date. (If you are buying multiple tickets or on behalf of someone else, you may need to provide attendee details for each ticket. You must have the consent of any attendee whose personal data you provide.)
- Ticket Selection: Select the type and quantity of tickets you wish to purchase. Ticket options and prices are described on the Website. All prices are listed in Euros (EUR) and include any applicable taxes, unless stated otherwise.
- Payment: Choose your payment method. We accept major credit cards and bank transfers for payment. All payments are processed securely via our payment partner Montonio. When you click to pay, you will be redirected to Montonio’s secure payment interface to complete the transaction. By confirming the payment, you agree to Montonio’s terms of service for payment processing and give Montonio consent to initiate the payment order on your behalf, ensuring your payment is handled safely. Note: We (the Organizer) do not receive your card or banking passwords; those are handled by Montonio in a secure manner.
- Confirmation: After successful payment, you will receive an order confirmation and your electronic Ticket (e.g. e-ticket or registration confirmation with a QR code/unique ID) via email. The Ticket will be sent to the email address you provided during registration. Please double-check that your email address is entered correctly. It is your responsibility to provide a valid email and to check your inbox (and spam folder) for the ticket email. If you do not receive any confirmation within a reasonable time after purchase, please contact us promptly.
- Invoice: If you require an official invoice for your purchase (for example, for your employer or personal records), please contact us at our provided email with your ticket details and billing information. We will issue an electronic invoice in accordance with Lithuanian accounting requirements. By default, your email receipt or ticket confirmation may serve as proof of purchase, but a formal invoice can be provided upon request.
Payment Terms: The full ticket price is due at the time of order. Ticket orders are not considered complete until payment is received and confirmed. If your payment is not successfully processed (e.g. due to card issues or insufficient funds) or if it is charged back, the ticket order will be deemed invalid. We reserve the right to cancel any ticket order if payment is not made in full or is reversed. Prices are as advertised on the Website; if any pricing error is identified (e.g. obvious mistake in price), we will inform you and you will have the option to reconfirm the purchase at the correct price or cancel for a full refund.
Delivery of Tickets: All tickets are delivered electronically. We do not issue physical paper tickets by mail. Your e-ticket (or registration confirmation) will contain a unique identifier (such as a QR code or ticket number) that will be checked at the event entrance. Please keep your ticket information confidential; do not share your QR code or confirmation details publicly to prevent fraud. If you purchase multiple tickets for others, you are responsible for forwarding each attendee their ticket details. Each ticket is valid for one entry for one person and will be scanned or verified upon entry to the Event.
Ticket Use: The ticket allows the attendee entry to the Event venue and participation in the conference program. Please be prepared to show a valid ID at the event check-in if requested, so we can verify your identity against the ticket registration if necessary (this is a security measure to prevent ticket fraud or misuse). The Organizer reserves the right to refuse entry if a ticket appears to be duplicated, resold, or tampered with. Treat your ticket as you would any important document – we are not responsible if a ticket is stolen, duplicated by someone else (due to you sharing it), or lost (ensure you have it available in your email or printed).
Pricing and Fees
All ticket prices are provided in EUR (Euro). The price listed is the final price to be paid and includes any applicable value-added tax (VAT) or sales taxes under Lithuanian law, unless the Website states otherwise. If VAT is not included, it will be clearly indicated and added during checkout. There are no additional booking fees charged by us on top of the ticket price. However, your bank or credit card provider might charge you a small international or processing fee depending on their terms (especially if you are outside Lithuania using a different currency – though EU payments in EUR usually do not incur extra fees under SEPA rules). We are not responsible for any such third-party bank fees.
If you choose to pay by bank transfer via Montonio (Payment Initiation Service), note that this service is provided free of charge to you by Montonio, and it directly debits your bank account with the ticket amount. If paying by credit card, the charge will appear on your statement – it may show our conference name or Montonio, depending on how the processing is set.
Cancellation and Refund Policy
Cancellation by Buyer (Change of Mind): We understand that plans can change, and we have established the following refund policy for ticket cancellations initiated by the Buyer:
- Cancellations made 3 months or more before the event date: You are eligible for a 100% refund of the ticket price. (For example, if the conference starts on October 20, you must request the refund by on or before July 20 to receive 100% back.)
- Cancellations made less than 3 month (90 days), but more than 1 month (30 days) before the event date: you are eligible for a 50% refund of the ticket price.
- Cancellations made less than 1 month (30 days) before the event date: No refund will be provided for late cancellations within the last month before the event.
We encourage you to make any cancellation decisions as early as possible.
How to Cancel: If you need to cancel your attendance and request a refund (when eligible per the above timing), you must contact us in writing (via email at our contact address) with your name, ticket information, and the request to cancel. The date of your cancellation request email will determine which refund tier applies. If eligible, refunds will be processed within 20 business days to the original payment method whenever possible. If the original payment method cannot be refunded (e.g. your card account is closed), we will work with you to arrange an alternative method.
No Right of Withdrawal: By purchasing a ticket, you acknowledge that the standard 14-day EU “cooling-off” period (right of withdrawal) for distance sales does not apply to this ticket purchase, because it falls under the exemption for leisure services on a specific date (such as event or concert tickets). Therefore, apart from our voluntary refund policy stated above, you do not have a statutory right to cancel the ticket order within 14 days for a refund. We will of course honor the refund terms we promised above, but we want to clarify that under EU consumer law you cannot simply change your mind after purchase and demand a full refund (since our event is scheduled for a specific date).
Ticket Transfers: Tickets are issued to the named attendee(s) and are generally non-transferable without our prior approval. We understand emergencies can happen – if you can no longer attend and wish to transfer your ticket to someone else, you must contact us at least 7 days before the event with the new attendee’s name and contact details. We reserve the right to approve or deny ticket transfers on a case-by-case basis. Any transfer must be done at least a reasonable time before the event so that we can update the attendee list. You may not resell tickets for profit or in any way that contravenes fair practices; any unofficial resale or attempted transfer without notifying us may render the ticket void. (We want to ensure we know who is attending for security and logistical reasons.)
Event Cancellation or Changes (by Organizer): We strive to hold the conference as scheduled, but there may be rare occasions where we have to cancel or substantially change the event due to circumstances beyond our control or other significant reasons (e.g., force majeure events like natural disasters, pandemics, government restrictions, or key speaker cancellations).
- If the Organizer cancels the event entirely or the event does not occur as planned, ticket holders will be entitled to a full refund of the ticket price paid. We will process such refunds as soon as possible back to the original payment method.
- If the event is postponed or rescheduled to a different date, your ticket will generally remain valid for the new date. We will notify you of the change as soon as possible. If you cannot attend the event on the new date, you will have the option to request a refund within a specified time window. We will provide instructions in such a case.
- If there are significant changes to the event program or venue (for example, a change of city or a change that in our judgment materially alters the nature of the event), we will inform you. Minor changes (such as adjustments in schedule, or speaker lineup changes) will not typically entitle ticket holders to a refund, as the ticket is for the overall conference event, not a specific speaker. However, if you feel a change is highly significant, please contact us and we will review requests on a case-by-case basis.
- In the event of cancellation or major changes, our liability is limited to the refund of the ticket price. We will not be liable for any additional expenses you may have incurred – such as travel or accommodation bookings – so we recommend purchasing refundable travel arrangements or insurance where appropriate. (See Limitation of Liability below.)
Refund Process: When a refund is approved (whether due to your timely cancellation or an event cancellation by us), it will be issued back to the original form of payment if possible. Credit card payments will be refunded to the same card; bank transfer payments will be refunded to the same bank account. The timing of the refund might depend on your bank or card issuer – we will issue it promptly, but it may take several days for the credit to appear on your statement. If you have not received an expected refund after a reasonable time, please contact us.
Exceptions: The above refund policy is designed to be compliant with Lithuanian and EU consumer protection laws. If applicable law provides you with any additional rights to cancel or obtain a refund, we will honor the applicable law. (For example, if a law or regulation enacted after these Terms gives consumers a right to a refund in certain scenarios beyond what we’ve stated, those legal rights will supersede our policy.) Conversely, in the absence of any mandatory law requiring a refund, the terms of our policy will apply.
In summary, outside of the situations described above, all ticket sales are final. Please make sure you are committed to attending before you purchase, and if you need to cancel, do so as early as possible to qualify for a partial refund.
Event Attendance and Conduct
Check-In: Please bring your e-ticket (on a mobile device or printed) and a valid photo ID to the event registration desk. Our staff will scan or verify your ticket. Only one entry per ticket/attendee is permitted. If at any time you leave and re-enter the venue, you may need to show your badge or proof of registration again.
Conference Badges: We may issue name badges or passes for attendees during check-in. For security and networking purposes, we ask that you wear your badge visibly during the conference sessions. Do not share or swap badges with others. If you lose your badge, please approach our information desk for assistance.
Code of Conduct: We are dedicated to providing a respectful, safe, and inclusive experience for all participants. By attending the conference, you agree to behave professionally and to treat all other attendees, speakers, sponsors, and staff with courtesy and respect. Harassment, discrimination, or disruptive behavior will not be tolerated. The Organizer reserves the right to remove any person from the event (without refund) if they are behaving in a manner that is unsafe, illegal, or violates the dignity of others.
Venue Rules: You must follow all rules and regulations imposed by the venue. This includes any health and safety guidelines, security checks, or facility policies in effect. For example, if the venue prohibits outside food/drinks, or requires certain attire (if any), please comply accordingly. If COVID-19 or other public health measures are in effect (such as mask-wearing or showing a health pass), we will inform you beforehand and you are required to follow those rules for everyone’s safety.
Equipment and Personal Belongings: If you bring personal items to the event (e.g. laptops, bags), you are responsible for them. The Organizer and venue are not liable for any lost, stolen, or damaged personal property. We advise keeping valuables with you at all times or using any provided coat-check or lockers if available.
Recording and Media: We may arrange for professional photography or video recording during the conference. It’s possible attendees will appear in these photos or videos incidentally. By attending, you acknowledge that you may be photographed or filmed and you grant the Organizer the right to use any such media for lawful promotional purposes (for example, using a crowd photo on our website or social media to showcase the event). We will not intentionally focus on individuals without consent for interviews or close-ups. If you have a strong concern about appearing in event media, please inform us and we will try to accommodate where feasible (for instance, by offering a seating area not generally photographed). Conversely, attendees are typically allowed to take photos of the conference for personal use (e.g. sharing on social media), but live streaming full sessions or using professional equipment may require prior permission from the Organizer. Also, be mindful and do not photograph or record other attendees without their consent, especially in sensitive contexts.
Limitations of Liability
No Liability for Indirect Loss: The Organizer will not be liable for any indirect or consequential losses or damages arising from your participation in or connection with the event or use of our website. This includes, for example, no liability for loss of business opportunities, loss of income, accommodation or travel costs, or other expenses spent in anticipation of the event.
Event Changes: As noted, if we cancel the event, our liability is limited to the refund of your ticket price. We are not responsible for other costs you may incur (such as travel, hotel bookings, or work time taken off) in relation to attending the event. We strongly suggest you consider travel insurance or flexible booking options to protect against unforeseen cancellations.
Personal Injuries/Property: You attend the event at your own risk. The Organizer is not liable for any personal injuries, illness, or accidents that occur at the venue, except to the extent caused by our negligence or willful misconduct. We will take standard safety precautions at the venue, but you are expected to follow instructions and to take care of your own safety and belongings. If you feel unwell or see a hazard, please alert event staff immediately. In any case, our maximum liability to any attendee is capped at the amount of the ticket fee paid, to the fullest extent permitted by law, except for matters where liability cannot be limited by law (such as liability for death or personal injury caused by our negligence, or fraud).
Website Use: Our conference website is provided on an “as-is” basis for information and ticket sales. While we strive for accuracy, we do not guarantee that the Website will be available at all times, or that it will be error-free. We are not responsible for technical issues beyond our control (for instance, downtime of the payment gateway or internet outages). The Buyer is responsible for ensuring they have adequate internet connectivity and compatible devices to use the Website.
Force Majeure: The Organizer shall not be considered in breach of these Terms or liable for any failure to perform, or delay in performing, any of our obligations (including holding the event on the scheduled date) if such failure or delay is due to causes beyond our reasonable control. This includes, but is not limited to, acts of God, war, acts of terrorism, civil disturbance, strikes or labor disputes, epidemic or pandemic, natural disasters (e.g. flood, earthquake), government regulations or advisories, travel bans, power or internet failures, or other emergency conditions. In such an event, we will make reasonable efforts to reschedule the conference or otherwise provide an alternative solution (see Event Cancellation section above).
Indemnification: To the extent allowed by applicable law, you agree to indemnify and hold harmless the Organizer (and our employees, agents, and partners) from any claims, liabilities, damages, or expenses (including reasonable legal fees) arising out of your breach of these Terms or misuse of the event/website. For example, if you unlawfully resell tickets or damage property at the event and a claim is made against us as a result, you would indemnify us for that claim.
Personal Data and Privacy
Personal data provided by the Buyer/attendee during ticket purchase or event participation will be processed in accordance with our Privacy Policy (see above). By accepting these Terms and purchasing a ticket, you acknowledge that we will collect and use your personal information (such as contact and billing details) for the purposes of fulfilling our obligations (organizing the event, issuing tickets, communication) and as otherwise outlined in the Privacy Policy. We implement appropriate data protection measures to secure your information. Notably, payment details are handled by Montonio on our behalf, and we do not store your sensitive payment information on our systems for security. If you have any privacy-related queries, please refer to the Privacy Policy or contact us.
By attending the event, you also understand that we may take photos or video as described in the Recording and Media section and that limited usage of such media may occur (which potentially could include your likeness if you appear in group shots). We will handle any personal data in media according to privacy regulations (for instance, not using a clear image of you in marketing materials without consent if you are the focus). If you have concerns, let us know.
Applicable Law and Dispute Resolution
Governing Law: These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of the Republic of Lithuania. This means that the interpretation and enforcement of these Terms will follow Lithuanian law, even if you are a consumer from another EU country. However, if you are a consumer resident in another EU country, you may also have the benefit of certain mandatory protections under the laws of that country, which these Terms cannot override.
Jurisdiction: In the event of a dispute, the parties shall first attempt to resolve the matter amicably through negotiation. If a resolution cannot be reached, any legal proceedings shall be submitted to the competent courts of the Republic of Lithuania. Specifically, all disputes shall be finally settled by the Lithuanian courts according to the registered office address of the Organizer, unless otherwise required by consumer protection laws. (If you are a consumer resident in the EU, you may also be entitled to pursue claims in your home country’s courts under EU law – this clause does not override any such right.)
Consumer Dispute Resolution: If you have a complaint regarding the event or ticket purchase, we encourage you to contact us first to seek a resolution. We will do our best to resolve the issue in good faith. In addition, as per Lithuanian consumer protection regulations, consumers may seek assistance from the State Consumer Rights Protection Authority (SCRPA) of Lithuania for out-of-court dispute resolution. (Note: The European Online Dispute Resolution (ODR) platform provided by the EU was discontinued as of 2025, so consumers should use national dispute resolution bodies like SCRPA for any cross-border e-commerce complaints.)
By agreeing to these Terms, both you and we also agree that we will not bring any claim as a class action or collective proceeding; any dispute will be resolved on an individual basis (this primarily is relevant in jurisdictions that allow class actions – under Lithuanian law this is not typical for consumer claims).
